This privacy policy outlines the types of information I gather and how I use them.
I am a sole trader registered as ‘Tracey Chick’ . I offer freelance editing and writing services.
Types of data I collect
When I receive an enquiry, I will ask for:
- Your name
- Your email address
- Your phone number
- Some basic details about the project e.g. word count, type of work, genre
If a sample edit is required prior to a full edit, I also ask for:
- Any files relating to the sample edit
If I secure the project, I will also ask for:
- Your contact address for the purposes of invoicing
- Any files relating to the project
How I collect your personal data
- Via email
- Via the contact form on my website
How I use the data I collect
The personal data collected is used:
- To contact you regarding your enquiry or project
- To provide editing services as a sole trader
- To analyse how visitors use my website
- To prepare my accounts for submission to HMRC
- If I have your permission to do so, I may use some information on my website as a testimonial.
Where is the data stored?
My website is created in WordPress. You can find their privacy policy here
I back-up files using password-protected online storage via OneDrive.
My emails are password-protected and hosted by Microsoft Outlook. I access them either via my password-protected laptop or desktop personal computer. and accessed only by myself, or via my mobile phone which is protected by password and face recognition.

How long is the data stored?
I retain files for 6 months from the date of project completion in case of further queries. After that, I remove all files relating to the project from OneDrive. If you require me to delete the files prior to the 6 months, I will do so on request.
In the UK, the HMRC requires self-employed people to retain financial records for a period of 5 years after the 31st January tax assessment deadline in the relevant tax year. You can read more about this here. This means I will retain copy invoices for a period of 7 years.
Keeping Your Data Private
I will not share your data with anyone unless legally required to do so, for example with HMRC.
